Privacy Policy

Last updated: 6 October 2026

This policy explains how Bookiva (Pty) Ltd ("Bookiva", "we", "us") collects, uses and protects personal information when you use the Bookiva website, the Bookiva app for clients and the Bookiva Business app for salons (together, the "Service"). We follow the Protection of Personal Information Act, 2013 ("POPIA").

1. Who is responsible

For your Bookiva account (your name, email, phone and photo), we are the responsible party. Contact our Information Officer, Menard Nyanjaka, at query@bookiva.co.za, 9203 Tigris Street, Palm Ridge Ext 6, 1458.

Salons using Bookiva Business decide what they record about their own clients (for example client notes and private ratings). For that information the salon is the responsible party and we process it on the salon's behalf, as their operator.

2. What we collect

3. Why we use it

We do not sell your personal information, and we do not use it for third-party advertising.

4. Who we share it with

5. How long we keep it

We keep your information while your account is active and for as long as needed for the purposes above, or as the law requires (for example, financial records). When you delete your account, we delete or anonymise your personal information, except where we must keep it by law.

6. How we protect it

Information is sent over encrypted connections. Strict access rules in our database make sure each salon can only see its own clients and bookings, and each client can only see their own bookings and invoices. Invoice files are private and only shared through time-limited links.

7. Your rights

You may ask to see the personal information we hold about you, ask us to correct or delete it, object to how we use it, or withdraw consent where we rely on it. Email query@bookiva.co.za. You can update most details yourself in the app's settings.

If you are not happy with how we handle your information, you may complain to the Information Regulator of South Africa: inforegulator.org.za.

8. Children

Bookiva is meant for people aged 18 and over. A parent or guardian should make bookings for children.

9. Changes

We may update this policy. We will show the new date at the top, and tell you in the app if the changes are important.
